Team Administrator

We are seeking to employ a Team Administrator to be based in our Farnborough office.

Hilson Moran are interdisciplinary consultants, engineers and advisors, applying progressive design thinking to shape the environments we live in. We provide a full range of engineering services, exciting innovation and design solutions on a wide range of projects from across our network of offices in the UK. Our projects span the globe, from World Cup stadiums in the Middle East and landmarks in London, to luxury hotels in New York and development projects in India.

Based in the Hub, a repurposed, art deco departure lounge, our Farnborough teams work internationally on project from across all sectors, from luxury hotels to some of the biggest and most exciting new stadia in the world.

We are seeking to employ a proactive and enthusiastic Team Administrator to join our expanding team in Farnborough.

The primary responsibility of the Team Administrator is to support the effective and efficient running of the business operations and ensuring consistency of document delivery and quality.

Your responsibilities will include, but are not limited to:

  • Prepare and manage documentation, including production reports, presentations, technical specifications, schedules, and site reports.
  • Ensure consistency and quality control of documents before issuance.
  • Maintain and organise commission files, ensuring they are up to date; scan and file paper-based appointment documents.
  • Prepare and issue monthly invoices.
  • Raise purchase orders for subcontractors and suppliers.
  • Manage diaries and coordinate meetings/workshops (internal & external), including booking venues and refreshments.
  • Assist in organising team and local marketing events.
  • Attend weekly resource meetings, prepare minutes, and distribute action points.
  • Provide general administrative support as required by the team.
  • Cover for admin or marketing teams during holidays or sickness to ensure business continuity.
  • Support the development and management of project deliverables schedules.
  • Oversee document control using Newforma for project directories and document management.
  • Assist project teams in complying with QA/BMP standards by updating trackers, monitoring progress, and ensuring timely completion of QA activities.
  • Coordinate and facilitate Project Launch meetings, Design Reviews, and Internal Technical Assessments, including issuing meeting notes.
  • Provide administrative support to Project Coordinators, including recording internal meeting notes and tracking project action lists.
  • Assist in the production of monthly project reports.

We’d like to hear from you if you have

  • Proven office administration experience.
  • Proficient MS Office tools.
  • Proficient use of Newforma and Document Control systems.
  • Adobe InDesign experience desirable but not essential.
  • Strong communication skills at all levels – written, verbal, and face-to-face.
  • Strong planning and organisational skills
